The Administrative Services Department, located at The Clatterbridge Cancer Centre in Bebington (CH63) is currently seeking a dedicated Medical Secretary to contribute to the realization of the Trust’s vision to Transform Cancer Care.

This pivotal role, categorized under Band 4, involves providing a high quality secretarial service to Medical and/or Clinical Consultant Oncologists and their clinical teams.

Responsibilities

Secretarial Support

Provide high quality secretarial support to Medical and/or Clinical Consultant Oncologists and their clinical teams.

Comprehensive administration of clinics ensuring all aspects are efficiently managed.

Act as the central point of contact for patients and their relatives, demonstrating a compassionate and supportive approach.

Clinical Correspondence

Produce accurate clinical correspondence in a timely manner, adhering to the current 5 day Key Performance Indicator (KPI).

Maintain the highest standards of patient care while handling urgent correspondence and requests.

Collaboration and Coverage

Collaborate with and cover for other Medical Secretaries during absences ensuring continuity of support.

Work alongside and assist the Support Medical Secretaries and Patient Service Clerks.

Provide additional Admin Support as requested by the Assistant Service Managers.

The Trust serves a population of 2.4 million people across Cheshire & Merseyside, North Wales, the Isle of Man and parts of Lancashire.

Operating across three sites, including the flagship hospital in Liverpool and main cancer centres in Wirral and Aintree, the Trust provides highly specialized cancer care.

Communication

  • Maintain excellent working relationships with CCC’s staff and peripheral clinic staff.
  • Ensure an efficient service for clinicians and patients.
  • Work closely with clerical staff to provide clear instructions for the requirements of Consultants and their clinical teams.
  • Liaise with the Assistant Service Managers and Administration Service Lead to maintain effective working relationships across sites.

Analytical and Judgement Skills

  • Understand the complexities of cancer treatment processes and specific tumor sites.
  • Exercise judgment in seeking advice and assistance to avoid errors in dealing with staff and patient related issues.
  • Accurately analyze information when entering data.

Planning and Organisational Skills

  • Make online clinic appointments for patients upon request.
  • Monitor clinics to ensure manageability for Consultants and avoid exceeding patient waiting times.
  • Expedite the receipt of investigative results and promptly bring them to the attention of Consultants, particularly those of key importance and abnormality.
  • Record and monitor results.

Policy and Service Development

  • Observe procedures, standards and policies at all times.
  • Recommend and share good practice with Assistant Service Managers to enhance service quality.

Financial and Physical Resources

  • Use office equipment efficiently to maximize its lifetime.

Human Resources

  • Participate in the induction and training of new staff.
  • Foster a team culture for timely completion of work.
  • Instruct and supervise new and agency staff during their induction.

Information Resources

  • Update demographic information on the Electronic Patient Record.
  • Share knowledge with staff at CCC and peripheral hospitals to enhance roles and improve patient care.

Research and Development

  • Participate in internal and external audits/assessments as required.
  • Operate under own initiative within the Departmental and Trust framework.

Education and Experience Requirements

  • Educated to GCSE level.
  • Hold RSA 2 typing or equivalent.
  • Experience in medical terminology; Medical Terminology Certificate is preferable.
  • Working knowledge of Microsoft packages.
